Vacancy - WHSCT Research Administrative Officer - Band 4

JOB SUMMARY

The post holder will work as a member of a multidisciplinary team composed of a consortium of academic, clinical and business partners. The post-holder will undertake administrative duties and coordinate activities of the consortium partners based at the Altnagelvin site, and interact with consortium partner organizations.

KEY DUTIES / RESPONSIBILITIES

To assist the Research and Development Team in the promotion and efficient organisation of research and development procedures and in the development of good administrative practice in managing research. To provide advice and assist staff and students on administrative systems and processes.

To assist staff with the day to day business activities within the Centre including coordination of internal and external communications systems. (IT, mail, phones and web services) and acting as a contact point for the Centre.

To oversee the effective maintenance of information and documentation within the Centre, liaising with Research Cluster Coordinators, and ensure systems, online information and reports are updated as required.

To coordinate and assist with the updating of ethical approvals and governance process relating to clinical studies at the Centre. To prepare a range of papers, reports, spreadsheets and databases, undertaking basic data analysis and establishment of new systems where appropriate to continuously improve the quality of service and efficiency of the Centre.

To support the management and implementation of a range of financial activities and coordinate quarterly progress reports for external funders relating to the project deliverables.

To assist the Research and Development Team in the processing of research documentation through the research governance approval procedure. This will involve communicating information to researchers about Studies in relation to research governance, ethical and regulatory approvals requirements where the advice and guidance is constantly changing.

To assist the Research Administrator in maintaining and updating the EDGE research database, entering details of approved Clinical Trials and Studies and producing statistical reports. To maintain an up to date filing system for Research Studies and prepare closed files for storage in accordance with the Trust’s Procedures for the transfer of Records to the Closed Records Store.

To provide guidance and train researchers in the use of the web-based Integrated Research Application System (IRAS) application documentation for research governance and ethical approval. To provide guidance to researchers on the documentation required for research governance approval of Studies and the e-learning Good Clinical Practice training to be undertaken by all researchers.

To contribute to the drafting of the agenda for the Research Governance Committee, disseminate agenda and papers for meetings.

To circulate details of research workshops and events, funding opportunities etc. To carry out the administration associated with the organisation of research workshops, seminars and conferences.

To manage incoming telephone calls appropriately, answering queries and taking messages, using initiative.

To open incoming post and distribute to relevant staff and be responsible for outgoing mail.

To organise meetings, maintain diaries and calendars, book venues, hospitality, IT/audiovisual requirements as and when required.

To review and check all documentation for amendments to Clinical Trials and Studies, include details on the Research Governance Committee agenda and prepare the relevant letters of acknowledgement for the Chief Investigator and Trust Research Team.

To assist the Research Manager in the preparation of Business Cases for all Clinical Trials and Studies with commercial income.

To request required evidence from researchers not employed by the Trust and prepare work placement agreements.

To prepare Powerpoint presentations and other promotional materials. To attend meetings, take notes and produce draft minutes. To monitor and order office stationery supplies and equipment as appropriate. Any other duties as may be assigned from time to time.
